Build-up period

Building up and installation of stands, set-up of goods on Tuesday April 21st from 08:30 till 18:30.

Break-down period

Carrying out of goods and dismantling of the stands on Friday April 24th from 16:00 till 19:00. If additional time is required, please contact the Med-e-Tel secretariat.

Terms of payment

Payment is due within 10 days of receipt of acknowledgement of sponsorship or space reservation and receipt of invoice.
For applications received prior to January 1st, 2015, a deposit of 50% will be requested, with the final balance to be paid in the first week of January 2015.
Failing to execute payments on due dates may result in the cancellation of the space reservation and withdrawal of the company's information on the event's website or other publications.

Cancellation policy

If a sponsor/exhibitor wishes to cancel all or part of the allocated exhibit space or sponsorship, he must do so in writing before January 1st, 2015. In this case, the sponsor/exhibitor will be charged 50% of the cost of cancelled sponsorship or exhibit space cost. In case of a cancellation after January 1st, 2015, the sponsor/exhibitor will be charged 100% of the total sponsorship or exhibit space cost.
It is strictly forbidden to any sponsor/exhibitor to transfer to a third party, totally or partially, against payment or free of charge, the sponsorship or space that has been allocated to him, even if he is in a close economic relationship with such third party.

All goods to be exhibited at Med-e-Tel 2015, must be addressed to and shipped in the following manner:

Goods may be sent in advance, and will be stored at Luxexpo and delivered to your stand at no additional cost. When sending your expo materials in advance, please advice the Med-e-Tel secretariat of your shipment and the estimated date of arrival.

Exhibitor Services

Additional services and rental items for sponsors/exhibitors can be ordered through the venue's official contractors (such as audio/visual equipment, floral decorations, stand equipment, telecom installation, catering, stand cleaning, etc.). Please contact the Med-e-Tel secretariat for further information.

Exhibitor Badges

After final payment of the rent, exhibitor/sponsor and build-up passes can be collected at the Med-e-Tel registration desk or administrative office at Luxexpo. These badges may in no circumstances be sold and the exhibitors as well as their employees are liable for any false use of these entrance badges.
In case of abuse, the badges will be confiscated by the organizers.
Exhibitor/sponsor badges will be allocated according to the selected sponsorship/exhibition package. Additional participants should register separately in advance or upon arrival at the event (see http://medetel.eu/index.php?rub=visitor&page=registration_step1).

Exhibitor parking

Exhibitors may reserve, subject to availability, parking spaces inside the fairgrounds (at the back of Hall 1C). Vehicles circulate and park inside the fairgrounds at the risk of the holders of parking badges. Such a reserved parking space inside the fairgrounds, valid from April 21st, until April 24th, 2015 will be charged at € 75,- + VAT.
Please note that there is also ample parking space available (free of charge) in front of the main (north) entrance to the exhibition building, during the time of the exhibition.
Temporary access to the back of exhibition hall 1C (inside the fairgrounds) will be free of charge during build-up and dismantling periods.

Build-up passes

Build-up passes will be delivered to craftsmen and workers in charge of the build-up of stands.

Conference & Exhibition Guide

An official Conference & Exhibition Guide will be published on the occasion of Med-e-Tel 2015. The organizers decline all responsibility for any errors or omissions that may occur in this publication. This also applies to information published on the event's website (medetel.eu) and in the event's e-mail newsletters.
